Which WordPress form plugin should a small business use?

Pick the plugin by what happens after someone presses Send. Gravity Forms is paid and saves entries, routes leads and connects to many tools. WPForms has a free Lite version, but its saved entries need a paid license. Contact Form 7 is free and simple, and needs the Flamingo plugin to save messages.

The short version

  • Decide what you need after the form is sent: saved entries, routing, payments, a CRM connection.
  • Gravity Forms: paid only, saves entries, has routing and many add-ons by license level.
  • WPForms: a free Lite version; saved entries in your dashboard need a paid license.
  • Contact Form 7: free and simple; add Flamingo to save messages.
  • Don’t switch plugins on a working site without testing every form again.

How do the three compare?

This table comes from each vendor’s own pages, checked on October 31, 2026. Features move between free and paid tiers, so check the linked pages before you buy.

Gravity Forms

Gravity Forms has no free version or trial, according to its pricing page, which offers three annual licenses. The add-ons you get depend on the license. The entry-level license includes HubSpot, Mailchimp, Cloudflare Turnstile and reCAPTCHA. Stripe and Zapier start at the middle license, and Webhooks come only with the top one. Its form settings include Detect Spam using the Advanced Honeypot and a Submission Speed Check.

Good fit: businesses with several forms, quote requests with conditional questions, routing to different people, or a CRM connection.

WPForms

WPForms’ WordPress.org listing says the free Lite version has “Spam protection built in, plus integrations with hCaptcha, Google reCAPTCHA, and Cloudflare Turnstile,” and that spam protection is on for every form by default. The same page lists multi-page forms, file uploads and conditional logic as Pro features. The big limit: the Lite Connect page says Lite doesn’t save entries to your WordPress database. It can back them up off-site, but you only see them after upgrading.

Good fit: a simple form on a small site, with a plan to upgrade if leads matter.

Contact Form 7

Contact Form 7 is free, with more than 10 million active installations on its WordPress.org page. It sends an email and stores nothing. Flamingo, from the same maker, adds storage; its plugin page explains that it was created because Contact Form 7 “doesn’t store submitted messages.” Its Turnstile page describes a built-in Turnstile module and recommends Turnstile over reCAPTCHA unless you have a reason not to.

Good fit: a basic contact form, with Flamingo added, on a site where someone is comfortable with its text-based form editor.

How do I choose?

Answer these four questions in order:

  1. Do you need saved entries? For any business that depends on leads, yes. That rules out WPForms Lite and plain Contact Form 7.
  2. Should different requests go to different people? If yes, you need routing or conditional notifications. See routing form leads to the right person.
  3. Will leads go into a CRM? Check the plugin has a connection for your CRM, or webhooks. See sending form leads into a CRM or HighLevel. If you use HighLevel, its own forms can be embedded instead.
  4. Do you take payments or bookings? Check the payment add-on is in your license level. For event sign-ups, see our help article on online registration for your event. For appointments, a booking tool may fit better; see online booking or a contact form.

Why does the plugin choice matter?

The form is where a visitor becomes a lead. A plugin that can’t save entries, can’t route, or can’t reach your CRM means leads live only in someone’s inbox. Changing plugins later means rebuilding and retesting every form, so it pays to choose with the whole lead path in mind.

What are the common mistakes?

  • Running two or three form plugins. Older sites often have one plugin per form. Each needs updates and its own spam settings. Pick one and move the forms to it.
  • Choosing on price alone. A free plugin that loses one lead costs more than the license.
  • Forgetting the license renewal. A lapsed license usually means no updates, and some add-ons stop working. Put the renewal date in the same calendar as your domain.
  • Switching without testing. After moving a form, test every notification, routing rule and connection.
  • Page builder forms with no saved entries. Some page builders include a basic form widget. Check whether it stores submissions before relying on it.

What if my current form plugin is causing problems?

Fix the cause before you switch. Missing emails are usually a sending problem, not a plugin problem; see form emails that go to spam or go missing. Spam is usually missing protections; see stopping spam through your website form. Switch when the plugin can’t do something you need, such as saving entries or routing.

How much does it cost, and how long does it take?

Contact Form 7 and Flamingo are free. WPForms Lite is free. Gravity Forms and paid WPForms versions are annual licenses, priced by number of sites and features on each vendor’s site. Rebuilding a simple contact form in a new plugin takes about an hour, plus testing. Complex forms with routing and connections take longer.

How does E-3 handle this?

Adding or changing a form is one of the five questions our clients have asked most. We start with what the form needs to do after it’s sent, so entries are saved and routed, and changes to a live site are made on a staging copy first. Our leads and follow-up service can connect the form to one leads inbox.

Rather we handled forms and lead follow-up for you?

It’s part of what we do every week for small businesses, as part of leads and highlevel. Start with a free check of your site and profile, or call and ask.
