New addresses, junk mail, bounces, newsletters and moving to Microsoft 365.
Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.
- Can you change the name on an email address?Yes. The display name people see is a quick change. Changing the address itself, say from jsmith@ to jane@, is done by an administrator. In Microsoft 365, use Manage username and email, then add the old address back as an alias. In Google Workspace, the old address becomes an alias automatically. Then update phones and signatures.
- Can you move my email to Microsoft 365?Ask E-3 to talk it through; business email is one of E-3's services. You keep your address. Agree the plan first: how existing mail comes across (mail kept only on one computer needs its own step) and when the mail records switch, at a quiet time. Afterwards you sign in and re-add email on your phone and computer.
- How do I cut down on spam and block a sender?Mark spam as junk rather than just deleting it, block repeat senders in webmail, Outlook or Gmail, and don't reply or click unsubscribe in messages you don't trust. If a flood of spam starts suddenly, or real mail is being held back, ask whoever runs your email to check the server's spam filter.
- How do I get a new email address for a new employee? An admin creates the address in whatever system runs your email. In Microsoft 365 or Google Workspace you add a user, an alias, or a shared inbox like info@. If your mail is on E-3's own email service, send us the person's name and the address you want, and we'll create it.
- How do I send a newsletter or email blast to my list?Use a newsletter service such as Mailchimp, not your everyday mailbox. Import only people who agreed to hear from you, authenticate your domain so mail reaches inboxes, and include your postal address and a working unsubscribe link. Sending a blast from Outlook risks your normal email being blocked.
- Why am I not receiving email?Check four things in order: your Junk folder, whether your mailbox is full (E-3 email has no size limit), whether only one sender is affected, and whether the mail shows in webmail but not on your phone. If nobody at your business is getting email, or you just changed your website, domain or DNS, call your email provider straight away.
- Why are good emails landing in my junk folder?Spam filters guess, and sometimes they guess wrong. Move the message back to your inbox, mark it as not junk, and add the sender as a trusted or safe sender. If your own emails land in other people's spam, the usual cause is missing SPF, DKIM or DMARC records on your domain.
- Why can't I send email, or why do my messages bounce?A bounce message explains why your email failed, and its code is the best clue. Codes starting with 5 are permanent: a wrong address, or mail refused by a filter or failed sign-in. Codes starting with 4 are temporary. If nothing sends, test from webmail to tell a device problem from a server one.
