Set up your email in Outlook or Apple Mail

Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.

In Outlook, choose File, then Add Account (or Settings, Accounts in new Outlook and on a Mac). In Apple Mail, choose Mail, then Add Account. For E-3 email, pick IMAP and use mail.e3webmail.com for both servers (port 993 in, 587 out); for Microsoft 365 or Google, sign in and the app does the rest. Then send a test both ways.

What are the E-3 email settings for Outlook and Apple Mail?

SettingWhat to enter
Account typeIMAP (not POP)
Incoming servermail.e3webmail.com
Incoming port and security993, SSL/TLS
Outgoing server (SMTP)mail.e3webmail.com
Outgoing port and security587, STARTTLS (465 with SSL/TLS also works)
Outgoing server requires authenticationYes, same username and password as incoming
UsernameYour full email address
PasswordYour email password

Always use mail.e3webmail.com, not mail.yourdomain.com. The server’s security certificate is issued to mail.e3webmail.com, so your own domain causes certificate warnings.

What do I need before I start?

  • Your full email address and password. Test the password first at mail.e3webmail.com. If webmail rejects it, the password is the problem, not Outlook. See reset your email password.
  • Which service you’re on. If you’re unsure, E-3 email: start here explains the clues.
  • For E-3 email: the settings below. Please don’t copy settings from another company’s guide.

How do I add my email to Outlook for Windows?

First, check which Outlook you have. Classic Outlook has a File tab at the top left and a wide ribbon. New Outlook looks like Outlook in a browser, with settings behind a gear icon.

Classic Outlook (best for E-3 email)

These steps follow Microsoft’s guide, Add an email account to Outlook.

  1. Select File, then Add Account.
  2. Type your email address.
  3. For E-3 email, select Advanced options, tick Let me set up my account manually, and select Connect. For Microsoft 365 or Google, just select Connect and sign in.
  4. Choose IMAP.
  5. Enter the settings from the table above: incoming mail.e3webmail.com, port 993, SSL/TLS; outgoing mail.e3webmail.com, port 587, STARTTLS. Tick that the outgoing server requires sign-in. Select Next.
  6. Enter your password and select Connect.

Expected result: the account appears in the folder pane and mail starts to download.

New Outlook

  1. Select View, then View settings, then Accounts and Your accounts.
  2. Under Email accounts, select Add Account, type your address and select Continue.
  3. Sign in when asked.

Microsoft doesn’t document a manual IMAP screen for new Outlook. If new Outlook can’t connect to your E-3 mailbox on its own, use classic Outlook for it, or call us.

The short version

  • E-3 email is set up by hand as IMAP, with mail.e3webmail.com for incoming and outgoing.
  • Check your password in webmail first, and finish by sending a test and getting a reply.

How do I add my email to Outlook for Mac?

Per Microsoft’s guide for Outlook for Mac:

  1. Open the Outlook menu and choose Settings, then Accounts.
  2. Select + Add Account, type your address and select Continue.
  3. If Outlook asks for the account type, choose IMAP and enter the settings from the table above.
  4. Select Done.

Microsoft’s page doesn’t show every manual field, so labels may differ slightly on your screen.

How do I add my email to Apple Mail on a Mac?

These steps follow Apple’s guide to adding accounts in Mail on Mac. On older macOS, Settings is called Preferences.

  1. Open Mail and choose Mail, then Add Account from the menu bar.
  2. Pick your provider. Apple’s provider guide says to use Microsoft Exchange for Exchange-based accounts such as Microsoft 365. Choose Google for Google Workspace. Choose Other Mail Account for E-3 email.
  3. Click Continue and enter your name, email address and password.
  4. If Mail asks for server details, choose IMAP. Enter mail.e3webmail.com as both the incoming and outgoing server, and your full email address as the username, with your password.
  5. Click Sign In, and keep Mail ticked when asked which apps to use.

Expected result: the account shows in Mail’s sidebar and the Inbox fills.

To check settings later, choose Mail, Settings, Accounts, select the account and click Server Settings, as Apple’s server settings guide shows.

How do I test that sending and receiving work?

  1. Send a message from the new account to a different address you own, such as a personal Gmail.
  2. Check it arrived. That proves sending works.
  3. Reply from that other address.
  4. Check the reply arrives on your computer. That proves receiving works.
  5. Open webmail and check your test is in Sent Items there too. With IMAP, it should be.

Why does this matter?

After a new computer setup, mail sometimes sends fine but never arrives, or the reverse. It usually traces back to one mistyped outgoing setting, or an account added as POP. A two-minute test catches both before a customer’s email goes missing.

What are the common mistakes and edge cases?

  • Choosing POP. SmarterTools explains in Synchronizing with SmarterMail that POP downloads mail to one device. Your phone and webmail then stop matching.
  • Removing an old account to redo it. If the old setup was POP, or you kept mail in On My Mac folders or an Outlook data file, that mail may exist only on that computer. Apple says On My Mac mailboxes can only be reached on that Mac, and Microsoft explains how Outlook keeps mail in data files. Back that mail up and check webmail before you remove anything.
  • A certificate or security warning. Don’t accept it and don’t turn security off. Check that both servers say mail.e3webmail.com, not mail.yourdomain.com. If they do and the warning stays, call us.
  • The account appears twice. An old copy was never removed. Check which one gets new mail before removing the other.
  • Signature missing. Signatures don’t move between apps. See add or change your email signature.

What if this didn’t work?

  • Receives but won’t send: check the outgoing server is mail.e3webmail.com on port 587 with STARTTLS (or 465 with SSL/TLS), and that outgoing sign-in is turned on.
  • Keeps asking for a password: if webmail accepts the same password, retype it for both incoming and outgoing.
  • Still stuck: stop rather than trying more guesses. Call 814-399-4655 with your computer type, app and version, and the exact error typed out. See why can’t I send email for bounce messages.

How does E-3 handle this?

Every E-3 mailbox uses the same settings, shown above. If you’d rather not set it up alone, call us. Never send your password by email. Call 814-399-4655 or email support@e3help.me.
