How do I add or change my email signature?

Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.

Set your signature in each app you send from, because webmail, Outlook, Apple Mail and your phone each keep their own. In E-3 webmail it's under Settings, then Signatures. In Outlook it's under Settings, Accounts, Signatures (or File, Options, Mail in classic Outlook). Keep it short and mostly text.

How do I add a signature in E-3 webmail?

  1. Sign in to webmail at mail.e3webmail.com and open Settings.
  2. Under your user settings, choose Signatures, then New Signature.
  3. Give it a name only you’ll see, such as “Main.”
  4. Type your signature. To add a small logo or photo, use Insert Image in the toolbar and keep it no taller than a couple of lines of text.
  5. Save it.
  6. On the same page, find the mapping card (SmarterTools calls it Mapped Field). Next to your address, choose your new signature, and save.

Expected result: a new message in webmail shows your signature at the bottom. If you made more than one, a Signature dropdown by the From line lets you switch for one message.

If the dropdown is greyed out, the signature may be set for your whole domain. Ask us.

These steps follow SmarterTools’ current Signatures guide. Menu names can differ slightly by SmarterMail version.

The short version

  • Each app keeps its own signature, so set it in every app you send from.
  • E-3 webmail: Settings, Signatures, New Signature. Keep it to a few lines.

How do I update my signature in Outlook?

These steps follow Microsoft’s guide, Create and add an email signature in Outlook.

New Outlook and Outlook on the web

  1. Select Settings (the gear), then Accounts, then Signatures.
  2. Choose the account if you have more than one.
  3. Select Add signature, name it, and type it.
  4. Choose whether it goes on new messages, and on replies and forwards.
  5. Select Save.

Classic Outlook for Windows

  1. Go to File, Options, Mail, then Signatures.
  2. Under E-mail account, choose your account.
  3. Select New, name it, and type it under Edit signature.
  4. Under Choose default signature, set New messages and Replies/forwards.
  5. Select OK.

Microsoft notes that classic Outlook stores signatures on that computer, so a new PC needs them set again.

Outlook for Mac

Open the Outlook menu, choose Settings, then Signatures. Add one, name it, type it, and pick the defaults. Microsoft’s Outlook for Mac guide has the details.

How do I set a signature in Mail on a Mac, on a phone, or in Gmail?

  • Mail on a Mac: choose Mail, Settings, then Signatures. Select the account, click the add button, and type it. Apple’s guide, Create and use email signatures, shows how to pick a default for each account.
  • iPhone Mail: open Settings, Apps, Mail, then Signature. Choose All Accounts or Per Account. Apple doesn’t publish a current page for this, so labels may vary by iOS version.
  • Gmail: select the gear, See all settings, then the Signature section, and Save Changes. Google’s guide is Create a Gmail signature. The Gmail phone app has its own Mobile signature setting.

What should a business signature include?

  • Your name and role.
  • Your business name.
  • One phone number, written as text so people can tap it.
  • Your website address.

Leave out long quotes and legal footers unless you need them. Never include passwords, account numbers or anything private. A signature goes out on every message.

Why does this matter?

Your signature is how customers find your number when they want to call back. Images are where most signature problems start, so text first is the safer habit.

What are the common mistakes and edge cases?

  • The signature is one big picture. Some mail apps block images until the reader allows them, so your phone number may not show at all. Keep details in text.
  • Two signatures on one message. You set one in the app and typed one by hand, or set one in two places. Remove one.
  • The logo arrives as an attachment. Some mail systems treat inline images that way. Use a smaller image, or drop it.
  • Different on replies. Outlook lets you set a separate signature for replies and forwards. Check both defaults.
  • Fine in webmail, wrong in Outlook. That’s Outlook’s own signature. Fix it in Outlook.

What if this didn’t work?

Send a test to yourself from each app and open it on your phone. If one app still shows the wrong signature, check that app’s settings again. If you can’t find the option in webmail, look for a gear icon or your name in the corner, or call 814-399-4655.

How does E-3 handle this?

E-3 can set up or update your webmail signature for you. Send us the wording and the image you’d like, and tell us which apps you use. Don’t send your password. Call 814-399-4655 or email support@e3help.me.
