How do I see or export my orders and customers?
Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.
In WooCommerce, open WooCommerce, then Orders, to see every order and its status. For lists you can download, use WooCommerce, then Analytics: pick the Orders, Products or Customers report, set the date range, and select Download to get a spreadsheet file. Customers also have their own list under WooCommerce, then Customers.
How do I see my orders?
- Sign in. You need a WordPress login with the Administrator or Shop Manager role.
- Go to WooCommerce, then Orders. WooCommerce’s guide to viewing and editing orders uses this path.
- Find the order by scrolling, or search by the customer’s name or email.
- Open it to see the items, addresses, payment method and the notes at the side, which record payment events and status changes.
The short version
- Orders: WooCommerce, then Orders. Downloads: WooCommerce, Analytics, then Download.
- An order missing? Check its status first. Most are stuck at Pending payment.
How do I download orders or sales for a date range?
These steps follow WooCommerce’s Analytics guide.
- Go to WooCommerce, then Analytics, and choose Orders.
- Set the date range at the top. Pick a preset such as Last month or Year to date, or use the Custom tab and select Update.
- Select Download at the top right of the table.
- Open the file. It’s a CSV, which Excel, Numbers and Google Sheets all open.
Expected result: a spreadsheet with one row per order for the dates you chose. If the report covers many pages, WooCommerce prepares it in the background and emails a download link to the account that asked for it. The guide says that link stays valid for one week.
How do I see how many of one product we sold?
- In Analytics, choose Products.
- Set the date range.
- Use the filter at the top to show a single product, or compare a few.
- Select Download if you want a file.
For products with sizes or colours, the Variations report breaks sales down by option.
How do I see or export my customers?
WooCommerce’s Customers report guide describes this list.
- Go to WooCommerce, then Customers.
- The table shows each customer’s name, email, number of orders, total spend, country and when they were last active. Extra columns, such as phone numbers, can be switched on from the three-dot column menu.
- Use Show, then Advanced filters to narrow it, for example to customers who spent over a set amount.
- Select Download for a CSV file.
If the download is missing people you expect, set Show back to All Customers and clear any search before downloading again.
What if an order seems to be missing?
- Search for it in WooCommerce, Orders, by name or email.
- Read its status. WooCommerce explains each one in its guide to order statuses:
- Processing: paid and ready to fulfil.
- On hold: waiting for payment to be confirmed. Check your payment account before shipping.
- Pending payment: started, but no payment came through.
- Failed: the payment was declined.
- No order at all, but the customer was charged? The payment provider took the money but didn’t tell the store. See why online payment or checkout isn’t working.
- Order is Processing, but you got no email? Go to WooCommerce, Settings, Emails, open New order, and check it’s enabled and the recipient is an address someone reads.
- Check the email log. WooCommerce’s email FAQ says to open WooCommerce, Status, Logs and look at the transactional-emails source. Each email shows as sent, failed, disabled or skipped.
Why does it matter?
Your order list is your record of who paid for what. Regular exports help with bookkeeping, stock planning and follow-up marketing. Spotting stuck or failed orders early means you can contact the customer before they give up.
What are the common mistakes and edge cases?
- Draft orders. Newer checkouts create a Draft while the customer is still checking out. Drafts aren’t real orders.
- Analytics and Orders don’t match. If a report looks out of step with the Orders list, trust Orders for today’s activity and ask whoever manages the store to check the reports.
- Exporting more than you need. Customer files contain personal details. Store them safely and delete old copies. This isn’t legal advice, but privacy laws may apply to how you keep them.
- Old report plugins. Some stores have an extra sales report plugin with its own menu. Its numbers may be counted differently from Analytics.
- Hosted stores. Shopify and Square have their own order lists and exports. The ideas are the same.
What if this didn’t work?
- You can’t see Analytics or Customers. Your login may lack the right role. See how to add or remove a person’s access.
- The download link never arrives. Check spam for the WooCommerce email, then try a shorter date range.
- Order emails reach you but not customers. See why customers aren’t getting order confirmation emails.
How does E-3 handle this?
If you can’t find the report you need, such as how many of one product you sold, ask us. If you need a report WooCommerce doesn’t offer, tell us what you want to see.
If an order seems to be missing, send us the customer’s name, the time they tried to order and the order number if there is one. Please don’t send card details. Call 814-399-4655 or email support@e3help.me.
