How do I reply to a bad Google review?

Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.

Open your Business Profile at business.google.com, select Read reviews, then the Reply icon next to the review. Wait until you are calm, then keep it short: thank them, apologize, and offer to sort it out by phone. If it breaks Google rules, report it and still reply, unless it is extortion: then report it without engaging.

How do I reply to a review?

  1. Sign in to the Google account that manages your Business Profile.
  2. Go to business.google.com and open your profile.
  3. Select Read reviews.
  4. Next to the review, select the Reply icon.
  5. Type your reply, then select Reply to post it.

Google checks each reply against its policies first. Its guide says this usually takes up to ten minutes, and can sometimes take up to 30 days. The reply shows as coming from your business, and the reviewer gets a notification.

To edit or delete a reply, go back to Read reviews, find your reply and select the Edit icon. Change the text and select Update, or select Delete.

These steps follow Google’s guide to reading and replying to reviews. You need a verified profile.

The short version

  • business.google.com, Read reviews, then Reply. Three or four calm sentences.
  • Never share private details, argue, or offer anything to change a review. Report fake ones too.

What should I write?

Aim for three or four sentences:

  1. Thank them for the feedback, by first name if it’s shown.
  2. Apologize for the experience. You’re not admitting every detail. You’re sorry it went badly.
  3. Offer to fix it offline, with a name and a phone number or email.
  4. Sign off with your name and role.

For example: “Thank you for letting us know, Tom. We’re sorry your appointment didn’t go the way it should have. That’s not our standard. Please call me on [number] so I can put it right. [Your name], Owner”

Why does this matter?

Your reply is public. Most people who read it aren’t the reviewer. They’re future customers deciding whether to call you. A calm, fair reply often does more good than the bad review does harm. Replying to good reviews matters too. It shows you read what people say, and makes one bad review look like the exception.

What are the common mistakes and edge cases?

  • Sharing private details. Leave out what they bought, their address, account or health. That can breach their privacy.
  • Arguing in public. Even if they’re wrong, a back-and-forth looks worse than the review.
  • Offering something to change or remove it. Google’s content policy bans incentives for removing or revising reviews.
  • Pasting the same reply everywhere. Readers notice.
  • Replying in the heat of the moment. A few hours won’t hurt.

How do I report a fake or abusive review?

Google only removes reviews that break its policies, such as spam, fake reviews, off-topic rants, hate speech or conflicts of interest. A review you simply disagree with stays up. From Google’s guide to reporting inappropriate reviews:

  1. Open your profile and select Read reviews.
  2. Next to the review, select the report icon.
  3. Choose the reason and select Send report.

Google’s Reviews Management Tool, linked from the same guide, shows a report’s status. If Google finds no violation, you can make a one-time appeal there. While you wait, post a short, neutral reply, such as: “We can’t find a record of working with you. Please call us on [number] so we can look into this.”

Someone demands money to stop bad reviews

This is a known scam. Google’s advice on negative review extortion is not to pay or engage. Screenshot every demand with dates and sender details, copy links to the suspicious reviews, and use Google’s extortion report form, linked from that guide.

What if this didn’t work?

  • Your reply isn’t showing. It may still be under review. If Google rejects it, remove anything personal or heated and try again.
  • The reviewer changed their review. You can edit your reply to match.
  • The report was turned down. Use the one-time appeal, and keep your public reply calm.
  • You can’t see Reply. Check you’re signed in as an owner or manager of the profile.
