What is missed-call text-back?

Missed-call text-back sends an automatic text to anyone whose call you don't answer. The text says you'll get back to them and invites them to reply with what they need or book a time. It keeps a caller talking to you instead of dialing the next business while you're on a job or with a customer.

The short version

  • A call goes unanswered, and the caller gets a text from your business number within moments.
  • The text apologizes, says you’ll call back and asks what they need.
  • Their reply lands in your leads inbox, so you can answer with context.
  • In the US, business texting from a local number needs carrier registration.
  • It’s worth it if you regularly miss calls and each job matters.

How does missed-call text-back work?

  1. A customer calls and nobody can pick up.
  2. The phone system notices the missed call and sends a text from your business number.
  3. The text invites them to reply, or offers a link to book.
  4. Their reply goes into a shared leads inbox, not one person’s phone.
  5. Someone on your team replies or calls back.

A good message is short and human. For example: “Hi, it’s [Business]. Sorry we missed you, we’re with a customer. Text us what you need and we’ll get back to you, or book a time here: [link].” That’s sample wording; write it in your own voice.

Our glossary has a one-paragraph definition of missed-call text-back.

Why does it matter?

Plenty of callers won’t leave a voicemail. They hang up and try someone else. A text keeps the door open, and many people find it easier to type a quick reply than to call again. It works best alongside a fast reply; here is how quickly to answer new leads.

What are the common mistakes?

  • Texting from a number nobody watches. Replies must reach a real inbox that someone checks.
  • Long or salesy texts. One or two sentences is plenty.
  • Skipping carrier registration. US carriers require businesses that text from regular 10-digit numbers to register under a standard called A2P 10DLC. Twilio’s A2P 10DLC guide explains it. Twilio says registration brings less message filtering, so unregistered texts are more likely to be filtered.
  • Ignoring opt-outs. If someone replies STOP, stop texting them.
  • Sending marketing later without consent. A reply to their call is one thing; promotions are another. Texting consent rules are strict. This isn’t legal advice, so check with your attorney before you send marketing texts.

What if callers don’t reply?

Some won’t, and that’s normal. Check that texts are delivered: a rise in “undelivered” often points to a registration or carrier problem. Make the message shorter and add a booking link. Then make sure someone calls back the same day for anyone who left a voicemail or replied.

What does it cost, and how long does it take?

It usually needs a phone system or lead tool that can send texts, plus carrier registration. Costs depend on the provider and how many texts you send. Registration can take days or longer, so start it before you plan to switch on. Writing the message takes minutes.
