How do I add or remove a staff member on my website?
Suggestions appear as you type. Use the up and down arrows to choose one, or press Enter to ask.
To add a staff member to your website, open your team page in WordPress, duplicate an existing person's section so the layout matches, then swap in their name, role, photo and bio, and save. To remove someone, delete their section, then search the site for their name and repoint forms or email links using their address.
How do I add someone to the team page?
- Gather the details: their name, a plain role, a recent headshot, a short bio, and their OK to be on the site.
- Open the page. Go to Pages, hover over your team or staff page and select Edit. WordPress explains this list on its Pages screen page.
- Pick an existing person’s section. Click it and look at the block name in the settings sidebar. Many team pages use the Media & Text block, a photo beside text, or columns of image and text.
- Duplicate it. Open the block’s Options menu (three dots in the toolbar; older versions say More options) and choose Duplicate. If the section is several blocks, hold Shift and click each one first. A copy appears just below.
- Move the copy. Use the up and down arrows in the toolbar, or drag the six-dot handle. Keep one order for everyone, such as by role or alphabetical.
- Swap the photo. Click it, select Replace and upload the headshot. If the name and role sit right beside it, leave Alternative text empty so screen readers don’t say them twice. If the photo stands alone, describe it, such as “Dana Reyes, office manager.”
- Change the words. Click the name, role and bio and type the new details.
- Check it on a phone. Use the View menu and choose Mobile. Side-by-side sections should stack, with the photo above the text. In the Media & Text block, that’s the Stack on mobile setting.
- Save. Select Save (older versions say Update), then view the live page.
The short version
- Duplicate an existing person’s section, then swap in the name, role, photo, alt text and bio.
- To remove someone, delete their section, then check forms and email links for their address.
How do I remove someone who has left?
- Open the team page, click the person’s section, open Options (three dots) and choose Delete. Save.
- Search the site for their name. Names turn up on service pages, contact pages, old news posts and photo captions.
- Check forms and email links. If a contact form, “email us” button or footer link sends to their address, change it to a shared address. See why form emails go missing.
- Remove their website login, if they had one. See adding or removing editing access.
When someone leaves, check for a hidden second job: their address may still be where the website’s form messages go. Fix that on the same day you take them off the page.
Why does this matter?
The team page is one of the pages visitors look at to decide whether to trust you. A missing new hire is a small loss. A person who left two years ago, still smiling on the page, makes the whole site look neglected, and it can send a customer asking for someone who isn’t there.
What are the common mistakes and edge cases?
- Adding a fresh block instead of a copy. The new person then looks different from everyone else. Delete it and duplicate an existing section.
- Photos in different shapes. If everyone else is square, crop the new photo square too. The Image block has a Crop tool with set shapes.
- Huge files. A headshot doesn’t need to be bigger than about 800 pixels wide. See how to change a photo for resizing.
- Bios that don’t match. Keep the same length and tone for everyone. Skip claims you can’t stand behind, like “the best in the region.”
- Someone who doesn’t want a photo. That’s their choice. Use their name and role with a plain placeholder so the layout stays even.
- A separate Team menu. Some themes store staff as their own items, with a Team or Staff menu in the dashboard. If you see one, add people there and the page updates itself.
- A page builder. If the editor looks nothing like the steps above, the idea is the same: duplicate a person’s module and edit the copy.
What makes a good short bio?
Start with what the person does for customers (“Dana handles scheduling and billing questions”). Add a line of experience if it helps. Add one personal touch only if they want it.
What if this didn’t work?
- There’s no Duplicate option. The section may be locked as part of a pattern or template. Ask the site’s administrator.
- The photo looks stretched. Crop it to the same shape as the others before uploading.
- The person still shows on the live site. A cached copy may be showing. Check in a private browser window, then ask your web team to clear the cache.
How does E-3 handle this?
Send us the person’s name, role, bio and photo, and confirm they’ve agreed to appear. A person at E-3 adds the section. For someone leaving, send their name and say where form messages should go instead. If you have E-3 website care or hosting, daily backups mean an earlier version can be restored if anything needs to go back.
